Terms of Service
Effective and last updated: October 7, 2026
These terms are an agreement between you and Guardian Media, Inc. (“Guardian Media”, “we”, “us”), an Indiana company, for your use of Hostee Venue Suite at hosteevenuesuite.com (“Hostee” or the “Service”). By creating an account or using Hostee, you agree to these terms and to our Privacy Policy. If you use Hostee for a venue or business, you confirm that you are allowed to accept these terms for it. In these terms, “you” then also means that business.
1. The Service
Hostee helps venues and event businesses manage leads, clients, events, quotes and contracts, planning, payments, team scheduling and pay, media, and messages, and provides a client portal. We may add, change or remove features over time. If a change takes away something important, we will let account owners know first.
2. Accounts
- Give accurate information and keep it up to date.
- Keep your password private. You are responsible for what happens under your account and for the team members and clients you invite.
- Tell us right away at support@hosteevenuesuite.com if you think your account has been used without permission.
3. Your data
You own the information you and your team put into Hostee (“Your Data”), including your clients’ details, events, files and messages. You give us permission to host, store, copy, process and display Your Data only as needed to run, secure, support and improve the Service for you, and as described in the Privacy Policy. We do not sell Your Data.
You are responsible for having the right to put your clients’ and contacts’ information into Hostee, and to contact them through it. That includes any notices or consent the law requires.
4. Connected accounts (Gmail and others)
You can connect outside accounts, such as a Gmail, Google Workspace or Microsoft mailbox, a payment processor, or a phone number. When you do, you allow Hostee to use that account for you as described on the connect screen and in the Privacy Policy. For example, Hostee can send the emails you send from Hostee and bring client replies into Hostee. You must be allowed to connect the account. Your use of it remains subject to that provider’s own terms. You can disconnect at any time. Data from Google is handled under the Google API Services User Data Policy, including its Limited Use requirements.
5. Messages you send
- You are responsible for the content of the emails and texts you send through Hostee, and for following the laws that apply to them, including the CAN-SPAM Act and the Telephone Consumer Protection Act.
- Send texts only to people who have agreed to get them, and honor STOP requests. Hostee processes STOP and HELP replies automatically. Details are in our SMS Terms.
- Do not use Hostee to send bulk unsolicited or marketing messages to people who have not asked for them.
SMS program terms
- Program: Hostee Venue Suite Notifications, from Guardian Media, Inc. dba Hostee Venue Suite and the venues that use Hostee.
- Messages: account notifications, event and booking updates, customer care replies and team notifications. No marketing.
- Frequency: message frequency varies. Message and data rates may apply.
- Opt out / help: reply STOP to stop and HELP for help. Reply START to opt back in. Support: support@hosteevenuesuite.com, (888) 940-0123.
- Carriers are not liable for delayed or undelivered messages. Full details: SMS Terms.
6. Acceptable use
Don’t use Hostee to:
- break the law or violate anyone’s rights, including privacy and intellectual property rights;
- spam, scam, harass, threaten or deceive anyone;
- upload malware, or try to get into accounts, data or systems you are not allowed to use;
- probe, scan or load-test the Service without our written permission, or get in the way of its normal operation; or
- copy, resell or reverse-engineer the Service, except where the law allows it.
We may suspend access that puts the Service, other users or the public at risk. When we reasonably can, we will tell you first.
7. Venue clients
If a venue invites you to its client portal, the venue is responsible for its services, prices, contracts and communications with you. Guardian Media provides the software and is not a party to your agreement with the venue.
8. Fees and payments
- Paid plans are billed as shown on our pricing page or in your order. Fees are charged in advance and are not refundable, except where the law requires it or we say otherwise in writing.
- We may change prices with at least 30 days’ notice. The new price applies starting with your next billing period.
- Payments that venues collect from their clients are processed by Intuit (QuickBooks Payments) under Intuit’s terms. Hostee does not store full card or bank account numbers. Venues are responsible for their own refunds, chargebacks and taxes.
9. Third-party services
Hostee works with services run by other companies, such as Google, Microsoft, Intuit, Twilio and Cloudflare. We are not responsible for those services, and they may change or stop working in ways we can’t control.
10. Our property and feedback
Guardian Media owns Hostee, including its software, design and the Hostee name and logo. These terms give you the right to use the Service, not to own it. If you send us ideas or feedback, we may use them without owing you anything.
11. Ending your account
You can stop using Hostee and ask us to close your account at any time. We may suspend or close accounts that break these terms or are unpaid. Before you close your account, you can ask us for an export of Your Data. After an account is closed, we delete Your Data as described in the Privacy Policy.
12. Disclaimer
We work hard to keep Hostee available, accurate and secure, but things can still break. The Service is provided “as is” and “as available”, without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement, to the fullest extent the law allows. Keep your own copies of important documents and contracts.
13. Limitation of liability
To the fullest extent the law allows, Guardian Media will not be liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or goodwill. Our total liability for any claim about the Service is limited to the greater of the amount you paid us for the Service in the 12 months before the claim, or US $100.
14. Indemnity
If someone brings a claim against Guardian Media because of Your Data, the messages you send, or your breach of these terms or the law, you agree to cover the reasonable costs of that claim, including legal fees.
15. Changes to these terms
We may update these terms. We will change the date at the top, and for significant changes we will notify account owners in Hostee or by email before they take effect. If you keep using Hostee after that, you accept the new terms.
16. Governing law
These terms are governed by the laws of the State of Indiana, without regard to its conflict-of-law rules. Any dispute will be handled in the state or federal courts located in Indiana, and both sides agree to those courts’ jurisdiction.
